Position Summary:

Seeking a master multi-tasker with excellent communication skills and an upbeat attitude and able to assist management and all visitors to the company by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, making reservations or travel arrangements, and generally being a helpful and positive presence in the workplace. An Administrative Assistant should be professional, polite, and attentive while also being accurate, prepared and responsive, willing to meet each challenge directly. Most importantly, Administrative Assistants should have a genuine desire to meet the needs of others. TheĀ  Administrative Assistant will work under the direction of several different managers, while reporting to the company President. Qualified candidates must be able to work Monday Friday, from 8:00 5:00pm daily.

Major Duties and Responsibilities:

  • Performs word processing, database and spreadsheet applications including letters, memos, reports, and presentations.
  • Answers the telephone and routes callers to the correct person, takes messages, and locates individuals when necessary, insuring that all callers are assisted with courtesy and proficiency.
  • Manage multiple executive calendars in Microsoft Office.
  • Supports Human resources by scheduling interviews, benefit packets, training materials, ordering business cards, training new employees on phone system and other various duties
  • Supports activities relating to trade shows, including preparing mailings and sample packets
  • Schedules appointments, Interviews, meetings and conferences; notifies attendees and prepares agendas as directed.
  • Prepare materials for presentations and take meeting minutes.
  • Coordinates office logistics including ordering office supplies and cleanliness.
  • Responsible for maintaining conference room schedules and cleanliness of the rooms.
  • Organizes company activities including customer visits, company luncheons, quarterly meetings, and special events.
  • Assists in arranging business-related reservations and travel plans.
  • Organizes and maintains files, correspondence, records and confidential information.
  • Assist and organize customer visits
  • Other duties as requested by LasX Management.


  • 2 year degree in business, paralegal, or "a related field" preferred.
  • 3+ years of experience in the performance of administrative/legal support functions is preferred.
  • Excellent oral and written communication skills.
  • Candidate must be comfortable with computers, general office tasks, and excel at both verbal and written communication
  • Must be able to pay close attention to detail and produce results with a high level of accuracy.
  • Ability to initiate action, prioritize, handle multiple tasks simultaneously while working independently.
  • Must maintain a high level of confidentiality.
  • Ability to type a minimum of 60 wpm.
  • Team attitude and the ability to take direction from multiple managers/team members.
  • Must be able to adapt to changes, manage competing demands, deal with unexpected events and delays while demonstrating a calm demeanor and retain composure in stressful situations.
  • Professional and courteous, with a concern for maintaining a high level of customer satisfaction.
  • Intermediate to advanced PC skills with demonstrated knowledge and application of Microsoft Office software (Word, Excel, PowerPoint, and Outlook).

Physical Requirements:

  • Extensive time working at a computer workstation and answering phone calls.
  • Standing and walking on a concrete floor.
  • Some local travel may be required (less than 10%)
